The Equinox vid exchange is back!

Equinox is a twice annual vid exchange, running seasonally in spring and fall. Each exchange is on a different theme. To kick things off (again) for Fall 2024, the theme will be "After Life": sources in any format focusing on life (or unlife) after death.

We wanted to point out a section in the rules regarding content notes that some folks may have missed (and we apologize for not drawing everyone's attention to it earlier - this theme in particular can get pretty dark, so we're seeing a lot more content notes than we're used to!)

Because this is a gift exchange and we can't know what content notes vid recipients may need, we don't allow "choose not to warn" as an option for vid posts. If your vid post has selected "choose not to use Archive warnings" with no notes provided, we'll bounce it back to you to be edited.

The standard AO3 warnings are:
  • choose not to use Archive warnings
  • none of these warnings apply
  • graphic depictions of violence
  • major character death
  • rape/non-con
  • underage

In addition, we require that vidders include content notes in their post notes for:
  • alcohol or drug use
  • animal harm
  • body image & eating disorders
  • child harm
  • sexual violence
  • self harm
  • suicide
  • depictions of bigotry, systemic oppression, or identity-targeted violence, including but not limited to: racism, homophobia, transphobia, antisemitism, Islamophobia; slurs, symbols associated with hate groups, Nazi imagery, slavery, institutional violence

As well as content notes for audio/visual triggers:
  • audio triggers: e.g., sudden loud noise, rapid changes in volume, gunshot audio, or other startling or sustained loud noises on the audio track
  • physical triggers: e.g., strobing lights, very rapid cutting between short clips, bright / white flashes of light

We've e-mailed (or will e-mail within the next few hours) everyone whose vids contain one or more of these topics without a content note for it, asking them to edit their post. We are human, however, and may not have caught everything, so please double check your vid for any of these topics and edit your content notes if necessary. Please also make sure any treats posted in the next few days are tagged appropriately - we'll be checking in last-minute treats pretty late on Friday evening, so it may delay go-live (or go-live may go on with your treat hanging in the queue) if one of the above topics appears in your vid and isn't warned for, and we can't get ahold of you in time.

After reveals, you're welcome to edit your tags/content notes if you'd prefer not to have them there permanently. As always, please email equinoxvids@gmail.com with any questions. Thanks!

Hi everyone,

Just a reminder that assignment vids are due by the end of the day today (midnight Eastern Time)! If you are confident you'll finish your vid but need a little extra time, please email us at equinoxvids@gmail.com. If you don't think you'll finish your vid even with a small extension, please email us about that too!

As a reminder, treats are due the evening of September 20th. There's no firm cut-off time except for "before go-live," but please get your vids in before you go to sleep on the 20th to make sure we have time to review/approve them before go-live the next day.

It's that time already - this is the mandatory check-in post!

Please let us know if you're on track to finish your assignment on time. As a reminder, the deadline for primary vid assignments is September 8th. Just comment here with a "still in!" or email us at equinoxvids@gmail.com. If, however, you will not be able to complete your assignment, please let us know as soon as you can. All vidders must check in by Sunday, August 18th at the latest. We'll try to contact you if you don't, but if we're unable to reach you by the default deadline of August 25th, you'll be assumed to be in default.

Comments on this post are screened.

Also, the AO3 collection is now accepting vid posts, so if you've finished your assignment or a treat, feel free to go ahead and post it now. You can refer to the visual guide to posting in the Rules & Guidelines, or you can contact us for assistance. We will wait for at least a few vids to be in the queue before we start approving them to be added to the collection, to preserve anonymity as much as possible.

Next up: Dear Equinox letters! If you've written a letter (or when you do), link it here in the comments, along with a) the name you signed up with and b) a list of the fandoms you requested.

If you haven't written a Dear Equinox (/Yuletide/Festivids/etc.) letter before and you'd like to see some examples, the Dear Equinox post from Fall 2017 has plenty of links in the comments. Letters can be posted to Dreamwidth, Tumblr, a Google doc, or anywhere you like.
 
Letters are for the vidder assigned to you or anyone who might want to make you a treat. They should at least contain your requested fandoms and any character or relationship tags in your requests, and are a good place to fill out your requests by adding more details, likes/dislikes, music preferences/suggestions, and so on.
 
You can also include trigger information in your letter if you wish to do so. Your letter is a good place to get that information to treat vidders; including it is in no way required, and you should only do what you're comfortable with, but mods won't be able to communicate directly with treat vidders like we can to your assigned vidder.
 
If your assigned recipient did not include a Dear Equinox letter link in their sign-up, make sure to check the comments on this post! They may have chosen not to write one, but it's also possible they forgot to include it or didn't write it before sign-ups closed.

We posted some guidance earlier today for keeping requests/vids on-theme in sources with a lot of off-theme content. If you missed it, we recommend reading it over, especially if you plan on requesting/vidding any of the example sources discussed (9-1-1, Black Mirror, Doctor Who 2005, due South, Game of Thrones, Slings & Arrows, Star Wars, Supernatural, The Twilight Zone, and The Untamed).

Equinox sign-ups will open later this evening! The tag sets are locked in and ready to browse: main tag set, safety fandom tag set.

When deciding on fandoms to request/offer, remember: Requests must contain at least 4 unique franchises and at least 1 safety fandom. Offers must contain at least 4 unique franchises (these can be the same as your requests). "Multi-Fandom" can be used for requests, but can't be offered, as it isn't used for matching. Full info on how to sign up here.

There are a lot of fandoms in the tag sets this year where only a limited amount of the source canon qualifies for this season's theme. As a reminder, only the part of the source that fits the theme is eligible for Fall Equinox. Here are some examples drawn from the tag sets:

These examples contain character death / character return spoilers for Doctor Who, Game of Thrones, Star Wars, Supernatural, and The Untamed - if you don't know, click with caution! )

These are just a handful of examples meant to communicate the key point: keep your vids on theme! We don't want to have to do deep analysis on your vids to figure out whether or not they're good faith efforts at meeting the theme; a lot of this exchange runs on the honor system. But if you request or submit something that obviously does not fit the theme, we're probably going to bounce that back to you.

When we pulled this theme out of past Equinox theme polls and dusted it off, we said to ourselves, "this is a pretty straightforward topic! Shouldn't be difficult to figure out what does or doesn't qualify!" Since then, we've spent a lot of time staring into the void about the nature of mortality, what "ghosts" are, and what qualifies as "resurrection of the dead."

We've done our best to stick to concrete "yes afterlife" / "no afterlife" canon indicators, but there have been a lot of extensively debated judgment calls along the way. For open interpretation sources where deciding "yes afterlife" or "no afterlife" is deliberately left up to the viewer (like Alias Grace), we've mostly erred on the side of approving those into the tag set. For some other kinds of sources, we've had to work out "this qualifies because" / "this doesn't qualify because" rules on the fly, so here are some additional guidelines for After Life sources going into the last day of nominations:

Some clarifications needed on nominated sources. If you nominated any of these, please reply here or email us at equinoxvids@gmail.com with your clarifications / thoughts on the source(s)!

- Bãhubali movies: We reviewed the plot of these movies and couldn't determine where the theme fits, but we aren't familiar with the source and would like more info before making a decision!

- Doctor Who (1963): Which part of canon are you nominating this for? If it's on regeneration grounds, while discussing Doctor Who (2005) we determined that regeneration itself doesn't count since it's a mechanism that stops the Doctor from dying rather than a true death-and-rebirth cycle. (Time Lords can die, but the Doctor has continuously regenerated prior to dying - feel free to Who canon debate us on this point, but this is the Who canon interpretation we're going with this time around.) If there are other specific parts of canon that you're nominating this for, let us know! We're classic Who fans, but there's a lot of classic Who and the series premise alone doesn't qualify it, so if we can't pinpoint a "this source was nominated because," we're probably going to bounce it.

- Star Wars - All Media Types: There is so much Star Wars canon, and relative to that, extremely little of it qualifies for this theme. This is one time when we would very much prefer that only the parts of the canon that actually qualify for the theme are nominated, so if there are specific parts of Star Wars canon you have in mind, please let us know, and we can break it down into as many tags as needed.

Please keep in mind that because this season was run as a prompt fest, not a matched exchange, there isn't a vid for every set of prompts.

There were a lot of unfilled claims, which is more than understandable, given the state of things. We'll be doing something new this season; once reveals happen next week, submissions will be turned back on for off-season prompt fills. If you missed the window to submit something for Fall Equinox go live, you can still fill prompts between reveals (next Saturday, 11/28) and the start of Spring Equinox, which typically kicks off in January.

In the meantime, thanks to everyone who sent in a vid! Please remember to give the vids some love, and enjoy!

Hi everyone!

Today was the first deadline for prompt fill submissions! This was really just a deadline for us to assess where submissions are at, but you're welcome to continue to claim and fill prompts until November 20th, which is the night before go-live.

When you fill a prompt, you may notice that the "Gift this work to" spot on the submission page does not automatically fill in. We ask you to please fill this in manually so the person who submitted the prompt will know their prompt has been filled. If you've already submitted a vid and haven't done so already, please edit your submission to include this information. If you are filling a prompt that you submitted yourself, please gift it to yourself in order to maintain anonymity (though you are welcome to edit this at go-live if you feel uncomfortable listing yourself as both the creator and recipient).

Any and all prompts for Fall Equinox can now be claimed on AO3.

If you haven't yet browsed the 212 prompts in the challenge, you can do so by fandom or by recipient.

Please take a moment to read over the FAQ, which has a lot of information on claiming prompts, and the rules for Fall 2020, which outline requirements for making and submitting vids.

Some particular things to note:

- Prompts can be claimed more than once.
If someone has already claimed a prompt you want, you can claim it too.

- You can only claim up to five prompts at one time. If you max out and finish a vid for one of your five prompts, you're welcome to claim another; you just can't have more than five claims at a time.

- There is no penalty for failing to complete a vid for a claim.
If you claim a prompt and can't finish a vid for it, that's okay. There are no penalties for not completing a vid this season.

Vids are due by Sunday, November 8th at 11:59PM Eastern. Any claims not filled by that date will be released. We'll be assessing submissions at that point to see what we can do to try to get at least one prompt filled for everyone who signed up, but because of the structure of this season, there is no guarantee that a vid will be made for every set of prompts.

Submissions will reopen for late vids (the Fall 2020 equivalent of last-minute treats) from November 15th - 20th, prior to vids going live on Saturday, November 21st. Full deadlines are available on the FAQ / Rules page on AO3.

Fall Equinox kicks off today -- but it looks a little different than usual. This season, we're doing Equinox as a prompt meme rather than a gift exchange, to loosen restrictions, lower commitment levels, and generally make things easier on ourselves under the current circumstances.

The rules / guidelines are quite different this season due to the format change, so even if you're very familiar with the usual rules, please read over the ones for Fall 2020 before signing up or claiming a prompt:

Schedule: 

August 18th: Sign ups open
August 30th: Sign ups close
September 6th: Claims open
November 8th: Deadline for vids to be uploaded; submissions close
November 15th - 20th: Submissions will temporarily reopen for late vids. Think of this as the prompt meme version of late treats; any claimed vids as of 11/8 should be submitted by that day.
November 21st: Vids go live
November 28th: Vidders are revealed

A quick overview of how this season will work: 

For Fall 2020, Equinox will be a prompt and claim format. Sign ups will run for about two weeks, from today until Sunday, August 30th. When you sign up, you will be signing up only with requests (prompts); there is no vidder sign up. Vidders can claim prompts starting Sunday, September 6th, in a low-commitment format with no penalties for failing to complete a vid.

There are no thematic restrictions on fandoms. There are no safety fandom requirements, either. Any genre, media type, source length, etc. is fine. We've also added some things to sign ups to expand the kinds of vids you can ask for: if crossovers are your thing, you can now request up to 3 fandoms per prompt, in addition to the usual Multifandom option. Additional tags can be added to prompts to make them more specific and tailored to your interests.

Essentially: if it would make you happy to see a vid for ______ in the world, we want you to ask for that vid! If vidding makes you happy, we want you to make vids in a fun, low-stress format so that we can all celebrate your vids together.
