Hello all! This is the round up post for Spring 2019 Dear Equinox letters. If you've written a letter (or when you do), please link it here in the comments, along with a) the name you signed up with and b) a list of the fandoms you requested.
Letters are are entirely optional, but can be fun! If you'd like to see some examples, the Dear Equinox post from Fall 2017 has plenty of links in the comments.Letters can be posted to DW, Tumblr, a Google doc, your Wordpress blog, or anywhere you like. 
Letters are for the vidder assigned to you, or anyone who might want to make you a treat. They should at least contain your requested fandoms and any character or relationship tags in your requests, and are a good place to fill out your requests by adding more details, likes/dislikes, music preferences/suggestions, and so on.
You can also include trigger information in your letter if you wish to do so. Your letter is a good place to get that information to treat vidders; including it is in no way required, and you should only do what you're comfortable with, but mods won't be able to communicate directly with treat vidders like we can to your assigned vidder.
If your assigned recipient did not include a Dear Equinox letter link in their sign-up, make sure to check the comments on this post! They may have chosen not to write one, but it's also possible they forgot to include it or didn't write it before sign-ups closed.

Nominations have been closed for Sources from the 1990s! Sign ups will open in the morning (relatively speaking, by mod time). 

There are a lot of sources in the tag sets for this theme. In case it helps with sorting through everything, we've added two tabs to the approved sources and their 1990s material spreadsheet. If you click on "non-safety fandoms (plain list)" or "safety fandoms (plain list)", you'll get basic, tag-only lists of sources. These are a little easier to work with than the tag set view for copying into documents, spreadsheets, etc. for narrowing down fandoms, and they're also just a little easier to skim. 

It turns out there was a lot of media released in the 1990s! Good luck to all of us as we narrow down our lists of requests and offers.

For sources with material outside the 1987 - 2002 range, or sources that didn't release the majority of their material in the 1990s, only their 1990s material can be used for the theme. To make it (hopefully?) easier to figure out what can be used and what can't, we made a list of all non-safety sources and clarified any that had source limitations:

If a fandom you want to request/offer wasn't entirely released in the 1990s, please, please check it against this list to make sure the part of the source you're interested in qualified for the theme. We will be enforcing limits on source to the best of our ability, and we don't want anyone to ask for something and then be disappointed.

We'll keep updating the list as nominations come in tonight.


A few clarifications of the rules:

  • If you use outside source in a vid, it has to be source released in the 1990s. (Outside source might be a different movie or TV show, stock footage, internet screenshots etc.; in the case of books or audio sources, outside source is anything that is not the literal text of the book or the audio of the recording.)
  • Similarly, for multifandom requests, you can ask for any theme you want (within reason) but the source used has to have been released in the 1990s.
  • You do not, however, have to use the music of the 1990s in your vids. You can! We encourage it! But this is not in any way a requirement for vids made for the theme.

We need clarifications on scope of source on a couple of nominations. 

If you nominated: 

-  Bishoujo Senshi Sailor Moon | Pretty Guardian Sailor Moon: did you intend this to be used as a complete franchise tag encompassing all of the 1990s Sailor Moon material (if so, that's fine!), or would you rather use a more specific canonical tag like "Bishoujo Senshi Sailor Moon | Pretty Guardian Sailor Moon (Anime)" or "Bishoujo Senshi Sailor Moon | Pretty Guardian Sailor Moon (Manga)"? 

Updated: If we don't get confirmation on this, we're going to edit the tag to "Bishoujo Senshi Sailor Moon | Pretty Guardian Sailor Moon (Anime & Manga)" and also add a tag to the set for "Bishoujo Senshi Sailor Moon | Pretty Guardian Sailor Moon (Musicals)", so that we don't entirely eliminate the musicals if that's what someone intended, but keep the anime & manga distinct to narrow down the tag for people requesting and offering it. 

- Gundam Wing: is there a specific piece of the Gundam franchise you had in mind, or just anything within the franchise released in the 1990s? (How the AO3 tag is used varies on this point.) 

Also, one note on tags that we altered a bit and moved between tag sets (updated): 

- Tremors (All Media Types): Because only Tremors and Tremors 2: Aftershocks qualify, the length of source is technically that of a safety fandom, so we've moved it to the safety fandom tag set and relabeled it Tremors 1 & 2 (Movies). 

- Back to the Future (Movies): Because only Back to the Future III qualifies, the length of source is technically a safety, so instead we've added Back to the Future Part III (1990) to the safety fandom tag set. 

- Men in Black (Movies): Because only Men in Black (1997) qualifies, the length of source is technically a safety, so instead we've added Men in Black (1997) to the safety fandom tag set. 

- Rugrats & All Grown Up (Cartoons): Because All Grown Up doesn't qualify, we added Rugrats (Cartoon) to the tag set instead.

The theme for Spring Equinox 2019 is "Sources from the 1990s." You can nominate up to 10 safety fandoms and 10 non-safety fandoms here:

Spring Equinox Safety Fandoms Tag Set Nominations Page - for fandoms that are 240 minutes or less, and have no more than two films / episodes / separate parts within the scope of the nominated fandom tag.

Spring Equinox Non-Safety Fandoms Tag Set Nominations Page - for fandoms that are 241+ minutes in length (total), and/or have three or more films / episodes / separate parts

Clarifications of the rules for upcoming 1990s source nominations:

By "released in the 1990s," we mean first released. Any secondary release, including (but not limited to) material reissued in new packaging or formats, syndication, and theatrical re-releases does not count as material original to the 1990s.

For the purposes of the theme, remakes or new adaptations of, or sequels to, pre-1990s material count, such as: 

  • Angels in the Outfield (1994, remake of a 1951 film)
  • Die Hard 2 (1990, sequel to a 1988 film) 
  • Romeo + Juliet (1996, adaptation of very pre-1990s material)

But remastered and/or revised material originally released before the 1990s does not count. Specifically, the Star Wars Special Editions do not count despite their revisions and added material, because the majority of the material is not new to the 1990s. 

(We don't have an example at hand of a pre-1990s source re-released in the 1990s where the majority of the material was entirely new, but in such a case the source might count; if you have borderline examples you want clarification on, you can comment with them here or email equinoxvids@gmail.com.)

Nominations for Spring Equinox 2019 will open in two weeks, on Sunday, January 20th! Now is the time to start brainstorming which sources you want to nominate for Sources from the 1990s

"Sources from the 1990s" includes: 

  • Sources in any format that released all or the majority of their material in the 1990s and released the entirety of their material between 1987 - 2002, for example: 
    • comics: Superboy vol. 3 (1994 - 2002)
    • film franchises: Burton/Schumacher Batman (1989 - 1997), the Jurassic Park trilogy (1993 - 2001)
    • TV shows: Star Trek: The Next Generation (1987 - 1994), Highlander (1992 - 1998), Xena: Warrior Princess (1995 - 2001)
    • standalone sources such as movies, video games, books, and graphic novels

  • Material released in the 1990s (or material from a season of TV beginning/ending in the 1990s) within ongoing continuities that do not qualify under the rule above, for example: 
    • seasons 1 - 7 of The X-Files (1993-2000)
    • seasons 1 - 6 of ER (1994-2000)
    • 1990s plot arcs of comic book titles such as JLA and Avengers
    • The Matrix (1999), but not The Matrix Trilogy

These rules are intended to make it easier to vid fandoms that are essentially 1990s sources that overlap slightly with other decades, while also allowing for fandom requests/offers of just the 1990s parts of longer sources.

(During nominations, we'll have lists here of which sources qualify in their entirety and which qualify for 1990s material only, to make it easier to plan requests and offers.)

January 20 - 27: Nominations
January 28 - February 3: Sign ups
April 7: Deadline for primary assignment vids
April 20: Vids go live
April 27: Vidder reveals

Go-live is TOMORROW! We expect to go live sometime in the morning or very early afternoon Eastern Time, but we will make an announcement on our usual channels at the time.

We have extended the due time to 11:59pm Eastern Time (if you're a few minutes late, we are not going to reject your vid, but please don't submit it much later than that). There are still almost two weeks until Fall Equinox goes live - plenty of time for making vid treats! If you want to make a treat for Equinox but aren't sure where to look for ideas:

The official deadline for treats is Friday, Nov. 2nd at 9:00PM Eastern.

We'll take treats right up until the vid checker(s) have to go to bed on Friday night, but we can't guarantee how late that will be; if you're vidding past 9:00PM Eastern on the 2nd, please shoot us an email (equinoxvids@gmail.com) and let us know you have a vid coming in. 

Treats must be at least thirty seconds in length, and need to follow all other standard rules for vid submissions. Here are the full rules for vid treats.

Hi all! We wanted to remind you that the deadline to default on your vid assignment is OCTOBER 7TH, which is this coming Sunday.

If you default by the deadline, and it's your first time defaulting, the only penalty is you'll have to do an extra check-in during the next exchange season you sign up for.

Please refer to the Check In and Defaulting section of our Rules and Guidelines for more information about the penalties for defaulting after the deadline.

On the flip side, if you know at this point that you will not be able to complete your assignment, please let us know. All vidders must check in by September 29th at the latest; we'll try to contact you if you don't, but if we're unable to reach you by the default deadline of October 7th, you'll be assumed to be in default.
